Working with Teams and Collaborators Policy

Overview

Storetasker supports both solo freelancers and small teams (such as boutique agencies). Both models can be successful on the platform. However, working with teams or collaborators introduces unique responsibilities and risks. This policy explains the rules, best practices, and compliance requirements when working with a team through Storetasker.


Key Responsibility

You are solely responsible for all activity originating from your Storetasker account, whether authorized or not.

This means you are accountable for your own work, as well as the work of any team members or collaborators you involve.


What Types of Teams Are Allowed?

Successful team structures on Storetasker include:

  • Boutique agencies: multiple employees, with one (typically the agency owner) holding the Storetasker account.

  • Freelancer + collaborator: for example, a developer may bring in a trusted designer. The freelancer quotes the full project cost to the client, then pays the collaborator directly for their portion.


Subcontracting and Outsourcing

Outsourcing is not allowed on Storetasker.

  • You may not outsource work to collaborators at a lower hourly rate than what you charge the client.

  • Example: If you charge $125/hour, any collaborator performing services must also be paid $125/hour (minus Storetasker fees).

  • This rule does not apply to your employees, provided you comply with all employment, labor, and wage laws.

Account Access and Client Data

Only you may access your Storetasker account and client information.

  • Do not share your Storetasker login with unauthorized individuals.

  • If using external tools (e.g., Asana, ClickUp), ensure team members only see the client data necessary for their role.

  • Always safeguard confidential information.


Client Communication About Teams

Transparency is required when involving a team or collaborator.

  • Agencies: note this in your Storetasker profile and mention it early (intro message or first call).

  • Freelancers with collaborators: inform the client before introducing the collaborator.

Best practice: Ask for explicit client consent before starting work with collaborators.


Addressing Client Concerns

Clients may have questions when told a team or collaborator will be involved, such as:

  • Why are more people needed?

  • How do I know they can be trusted?

  • How is my data protected?

  • Are they employees or contractors?

  • Where are they based?

  • How were they vetted?

  • How will this impact cost?

Recommendation: Address these concerns upfront, ideally on a call or Zoom, before any work begins.


Special Considerations When Working with Teams

Unexpected Logins

Clients may become alarmed by unfamiliar logins from different locations (e.g., Chicago-based expert + London collaborator). Prevent this by notifying clients in advance if collaborators are working from different geographies.

Time Zones

Different time zones can create delays in handling urgent issues.

  • Example: A collaborator in the UK pushes a theme update Friday evening, but a U.S. client finds a bug during business hours. The collaborator may be unavailable until Monday.

  • Best practice: Plan schedules carefully and set client expectations around time zone differences.

Business Insurance

You must maintain business liability insurance with a minimum $3,000,000 combined single limit.

This protects you in rare cases where clients allege damage to their store. Some clients (or regions) may also require proof of insurance before work can begin.


Compliance Reminder

You are 100% responsible for ensuring collaborators comply with Storetasker’s Terms, the Expert Addendum, and all project contracts. Any collaborator’s violation is considered your violation.

Failure to follow these guidelines may jeopardize your account standing.
