Out of Office – Best Practices

Why It Matters

Taking time away—whether planned (vacation) or unplanned (sickness/emergency)—is normal. The key is keeping clients informed so they don’t become confused or frustrated during your absence.

For Planned Absences (3+ Days)

  • Notify all active clients well in advance of your time away.

  • Address any project timelines, deadlines, or concerns before leaving.

  • Let clients know when you’ll be back and when they can expect your next update.

  • Stop claiming new leads at least 2 business days before leaving.

For Unplanned Absences (Sickness or Emergency)

  • If possible, send a quick message to clients explaining you’ll be away.

  • Share an estimated return date, even if it may change.

  • Follow up again when you’re back to confirm availability.

Key Takeaways

  • Proactive communication prevents confusion — always tell clients if you’ll be unavailable.

  • Set clear expectations — share when you’ll return and when updates will resume.

  • Plan ahead — avoid taking new leads right before stepping away.
